Connecting It to What You Already Have

Telematics data sitting in its own portal produces reports nobody reads. The three connections that make it operational.

Buying · Analysis

A telematics platform is a data source. Its value depends on reaching the systems where decisions are already made.

The maintenance system

The most valuable connection and the one most often absent.

Odometer and engine hours flowing in, so service triggers are based on actual usage.

Fault codes creating jobs rather than emails.

Defects from daily checks arriving as work rather than as notifications.

Without it, someone retypes figures weekly, which is the kind of undocumented manual step that quietly becomes load-bearing.

Fuel card data

Card transactions and vehicle consumption need to meet somewhere for the reconciliation to be possible.

Neither system does it alone.

Which is frequently a spreadsheet, and is a legitimate one if it is documented and owned — the volume is monthly rather than daily.

Match on vehicle registration, and expect the card provider's registration formatting to differ from yours.

Finance and asset records

Purchase date, finance terms, disposal proceeds live in finance.

Usage and maintenance live in telematics and the workshop.

Whole-life cost needs both, which is why that calculation is an exercise rather than a report in most fleets.

A quarterly export into one place is adequate. This does not need to be real-time and treating it as an integration project overcomplicates it.

What not to connect

Driver data into HR or performance systems, which changes what the deployment is and attracts obligations the asset-focused version does not have.

Everything into a dashboard before the data quality checks pass, which produces confident numbers from inconsistent sources.

The identity problem

Vehicle registration is the common key and it is a poor one: it changes, it is formatted differently in each system, and it is reused.

Use the VIN where systems support it, which is stable for the vehicle's life.

And hold a mapping table with an owner where they do not.

The minimum that works

Odometer and hours into maintenance, automatically.

Fault codes creating jobs, automatically.

Everything else quarterly, by export.

Two connections and a spreadsheet delivers most of the value, and fleets that attempt more before the first two work rarely finish.

Two connections and a spreadsheet

The honest minimum.

Odometer and hours into maintenance, automatically.

Fault codes creating jobs, automatically.

Everything else quarterly, by export.

Fleets attempting more before those two work rarely finish, and those two deliver most of the value on their own.

Reproduce the workflow

For another way to make this requirement testable, consult time tracking integrations for fleet workflows. Reproduce the case with real roles, codes, failures and recovery steps.

Independent reference

For a thematic point of reference, see Postman. Consult the source directly because technical, operational and legal details change.
